This article is intended to instruct Managers, Local HR, and HR how to terminate an employee in Concourse.

When an employee makes you aware that they are resigning from the company or if you need to terminate them for any reason, you should enter this information into Concourse as soon as possible. This will initiate a process that notifies everyone in the company that needs to be made aware of an employee's off-boarding.
- Open the desired employee you would like to submit a change for.
- From the General tab, click Terminate.
- Enter as many details as possible on the form and click Terminate.
- Next, you should upload any applicable documentation to the Employee Documents. For help with uploading documents, click here.
Once submitted, the system will immediately generate several HR Help Desk Requests that are properly categorized to HR, Benefits, and Payroll. Email notifications will also be sent to the management team of the location the employee worked in as well as Security (if the employee was an STSO or higher). Each responsible person will then take the appropriate actions needed to make the change in Concourse, ADP, and other dependent systems and close out the ticket. If any additional details are required, they may enter comments on the HR Help Desk Request (which will notify the creator of Employee Change Notice via email).
On the date of the employee's termination, the system will automatically remove their access from Concourse and deactivate their Office 365 account. At this point, in order to find this employee in Concourse, you will need to select the "Additional Filters" option in reports and choose "Include Terminated".
|Full Name||Employee that is being terminated. Cannot be edited.|
|Termination Date||Date that the employee will officially cease employment. Please note that you should aim for this to be before the end of the month as backdating and pro-rating benefits can be quite difficult, costly, and cause delays in processing.|
|Last Date in the Office||If the last day of the employee differs from their official termination date, enter that date here.|
|Termination Reason||Reason that the employee is terminating.|
|Initiator||Indicate who initiated the termination - can be either Employee or Company|
|Eligible for Rehire||If the employee is leaving on good terms, select this box.|
|Separation Statement||Any details that are available in regards to the termination can be entered here. Physical documentation that was provided should be uploaded to the Employee Documents.|
